Withdrawal Procedure

In the unlikely case you need to leave your course

Withdrawal is the process by which you and NaSA legally terminate your enrolment contract between us, which leads you to cease studying a course with us.

If you wish to withdraw, you will need to complete the Withdrawal Form.

Please familiarise yourself with the procedure below prior to filling the form out.

We strongly encourage you to speak to Jacqui or Scott to discuss any problems you may have prior to withdrawing.

If you have not enrolled with us but have only put an application in with us, and wish to withdraw that application, please see the Application Withdrawal section.

Withdrawal Procedure

In the procedure below, the following terms are used:

  • "You" means the enrolled student (who, in this case, is considering withdrawing from the qualification); and
  • "We" means "The National School of Aesthetics"
  1. If you are withdrawing from any qualification or course therein you are enrolled in, we require you to notify us in writing, and we will count your withdrawal as starting from the time we receive your written notification. You should make this to the attention of the Director of Operations.
    1. We define in writing as using the Withdrawal Form with your original signature and sending or giving the original copy to us
    2. Your Withdrawal Form should be:
      1. Delivered by hand, by you or your representative, to one of our staff members; or
      2. Delivered by courier
    3. Your Withdrawal Form should not be:
      1. Sent by fax; or
      2. Sent by email; or
      3. Left at the premises without handing it to one of our staff members; or
      4. Delivered by one of your classmates or fellow students; or
      5. Delivered by normal mail
    4. All sections of the Withdrawal Form need to be completed to our satisfaction.
  2. If you claim medical conditions as the main reason for your withdrawal, we require you to provide a letter from a qualified medical practitioner supporting your claim.
    1. You must submit this with your Withdrawal Form.
    2. This cannot come by fax, by telephone or by email.
    3. The medical certificate must state that the qualified medical practitioner has seen you, and in his / her medical opinion, you are medically unable to start or continue the qualification.
    4. We utilise normal refund policies in cases of medical withdrawal, i.e. you will not receive a refund after the seventh business day after the qualification starting date (see number 5).
  3. If your qualification has not started, and wish to withdraw, you must withdraw as soon as possible.
    1. You will lose 10% of your deposit (domestic students) or 10% of your total fees or $500 (whichever is the lesser, international students) if you withdraw before the first day of the qualification, i.e. by 12 PM on the last business day we are open before the qualification starts.
    2. If you are attending class or not, you will lose $500 or 10% of the full qualification fee, whichever is the lesser, if you withdraw between the first and seventh business day of the qualification, i.e. after 12 PM on the last business day we are open before the qualification starts and 3 PM on the seventh business day after the qualification started.
    3. If you are attending class or not, you will lose all qualification fees if you withdraw after the seventh business day of the qualification, i.e. after 3 PM on the seventh business day after the qualification started.
  4. If you are beyond the 7 business days after the starting date, and you wish to withdraw, we must receive your Withdrawal Form, at maximum, three weeks after you have left the qualification, or prior to the end of the term in which you have left the qualification, whichever comes first.
  5. Our conditions of refund and withdrawal on the enrolment form state:
    1. Qualification/course fee refunds will only be made if you withdraw in writing using the Withdrawal Form, providing your reasons, within 7 business days of the qualification's advertised start date. You will then be refunded any monies paid less 10% or $500 (whichever is the lesser).
    2. After 7 business days, you are responsible for the entire qualification fee.
    3. If we close our entire operations, or voluntarily close qualification(s) and/or course(s) currently running at the time of closure, because of a natural or artificial disaster or other situations beyond our control, we reserve the right to close our doors, or our qualification(s) and/or course(s) until we find a suitable solution. You will receive a pro rata refund from the date of closure until the end of the qualification for fees paid.
    4. If we must close for financial or regulatory reasons, or if our Withdrawal and Refund Policies and Procedures as noted in 5.c fail, our student fee protection arrangement takes effect.
    5. We can cancel any qualification by law 7 (business and non-business) days or more prior to the advertised starting date.
    6. If you are withdrawing or otherwise, you do not receive a refund of Student Achievement Component funding paid to us.
  6. We will pay to you any refund due within 14 days of receipt of your Withdrawal Form of your withdrawal from a qualification. If your money is held in trust, we will refund it to you immediately after the money is released from a trust account. In some cases, your money may be refunded to Work and Income New Zealand and / or StudyLink, if one of those organisations is where your fees originated from.
    1. If you owe money on any section of the qualification started, completed or not, or any other monies owed to us, you will be expected to pay these fees.
    2. We will return money received from WINZ or StudyLink to WINZ or StudyLink if you are entitled to a refund. We must receive a request from WINZ or StudyLink in writing in order to issue a refund (for tax and accounting purposes), and you must organise this with WINZ or StudyLink.
  7. If we expelled you from your qualification, we may not give you a refund or may require your full qualification fee.
  8. If you do not send in your completed Withdrawal Form within the first week (7 business and non-business days) after leaving your qualification, we may send you a reminder note or letter to inform you that you have not withdrawn from the qualification.
  9. If you do not send in your completed Withdrawal Form within two weeks (14 business and non-business days) after leaving your qualification, we may assume you have abandoned your course.
    1. We will notify StudyLink as per point 10.
    2. We will notify any other relevant governing bodies.
    3. We may send you a letter notifying you of this.
    4. We will cancel your enrolment if we do not hear back from you within 72 hours after this letter has been sent.
    5. We may not give you a refund or may require your full qualification fee.
  10. If you do not attend the qualification for 5 days in a row and do not contact us about your absenteeism, and if you hold Student Loans and/or Allowances and/or Training Incentive Allowance, we will report your delinquency, as required by law, to StudyLink and/or WINZ.
  11. If we receive no response from you to the our letter or by the date due, your full qualification payment or the sections undertaken payment will be due immediately, and we will notify our collection agency of your debt to us.
    1. We will answer no correspondence from you once we take this step.
    2. You will also be responsible for any charges incurred, legal or otherwise, in the recovery of the debt you owe us.
